Business context

Hybrid work changed how offices operate. Organizations worldwide needed visibility into how spaces were used, which areas were overbooked or underutilized, and how to attract employees back to collaborative work environments.

Iotspot’s mission was to turn workplace data into actionable insights. To achieve that, they required a platform capable of processing millions of data points from IoT sensors, visualizing real-time occupancy, and generating AI-based recommendations. All within a GDPR-compliant and scalable system.

Challenges

Rising real estate and energy expenses

Inefficient use of office zones inflated facility and electricity costs while increasing CO₂ emissions.

Fragmented user experience

Legacy interfaces were inconsistent across devices and difficult to align with other platform components.

Integration and compliance complexity

The client needed to integrate various sensors and enterprise systems while maintaining compliance with GDPR and ISO 27001 standards.

Hybrid work coordination gaps

Employees struggled to plan on-site work, locate available desks, or find teammates due to the lack of centralized tools.

Limited insight into workspace utilization

Organizations lacked reliable data on occupancy, leading to inefficient space design and unnecessary costs.

Solutions we implemented

To meet iotspot’s goals, our team built a secure, AI-powered ecosystem that blends IoT intelligence, automation, and a refined user experience.

  1. A unified workspace hub.  Instead of having separate systems for bookings and monitoring, we consolidated all functions into one. Employees can reserve desks, rooms, or parking spaces through a single app that updates in real time using live sensor data.

  2. Comprehensive IoT integration. Sensors embedded across the office track motion, air quality, and occupancy. Their data flows into interactive dashboards that reveal usage trends, busy zones, and environmental conditions, all visualized for quick, informed decisions.

  3. Predictive insights through AI. Beyond reporting, the analytics engine learns from patterns. It highlights underused zones, recommends layout changes, and predicts when adjustments in lighting or ventilation could save energy or improve comfort.

  4. A powerful admin and reporting center. Facility managers oversee everything from one web console. The dashboard supports CSV exports, QR-based check-ins, and automated alerts for unusual occupancy or environmental deviations.

  5. Enterprise-grade security and compliance. With AWS Cognito for authentication and ISO 27001-aligned data handling, every transaction meets GDPR standards. Audit trails and versioning ensure transparency for clients with strict privacy policies.

  6. Design harmony across platforms. We modernized iotspot’s UI/UX to align with the rest of their ecosystem. The updated Webflow design system and Material-UI components keep the experience consistent and intuitive on any device.
